Restricted team members

Goal: let a teammate work in FrameCourier while seeing only the clients and projects you explicitly hand them — nothing else.

The three roles

Every team member has one of three roles, set on the Team Members form:

  • Admin — full access, including billing, team management, and settings.
  • User — full access to all clients, projects, galleries, video collections, and tasks; no billing or team management.
  • Restricted (scoped access) — sees only the clients and projects you grant. Everything else is hidden.
Restricted is for contractors, freelancers, or staff who should only touch a slice of your work. For a teammate who needs everything, use User. See Team members & roles.

Granting access

  1. Go to Team Members, then add or edit a person and set their Role to Restricted (scoped access).
  2. Check the clients and/or projects they should see.
    • A client grant includes every one of that client's current and future projects, galleries, video collections, and tasks.
    • A project grant includes just that project — its galleries, collections, and tasks. The person can see the client's name but not the client's contact details, billing, or other projects.
  3. Save. Changes take effect the next time that person loads a page.
Grants follow the client or project, not the role. If you later switch someone between Restricted and User and back, their existing grants are still there. Deleting a client or project removes the matching grants.

What restricted members can do

Inside a granted client or project they work exactly like a full user: upload photos and videos, create galleries and video collections, manage tasks, and send work to the client. They just can't see anything outside their grants.

What's hidden from them

The sidebar for a restricted member shows only Dashboard, Clients, Photos, Videos, Projects, and Tasks — each filtered to their grants. Their dashboard lists only the granted clients and projects, and search never returns out-of-scope results. These areas are removed entirely:

  • Releases and Contracts
  • Queue and Client Activity
  • Team Members, Settings, Tools, and billing

Opening a hidden page, or the direct URL of a client, project, gallery, or task they weren't granted, sends them back with a "not found" or "no access" message — there's no way to tell whether the item exists.

The Support page is one exception: a restricted member can still open it for Documentation and Ask Milo, but the support-ticket features (Submit a Ticket, the new-ticket form, the ticket list) are hidden. See Support tickets.
