Unified media search
Goal: find any photo or video across all your galleries and collections using a single search bar, with live typeahead results as you type.
Prerequisites
- Any company user can use search — no admin role required.
- You need at least one gallery or collection with uploaded content to get results.
Using the search bar
- Click the search input in the topbar on any page. It's on the left side, next to the page title.
- Type a query — a live dropdown appears after a short delay showing up to 8 matching results, each with a thumbnail, title, which gallery or collection it belongs to, and which client it's assigned to.
- Click a result to go directly to that photo or video.
- Press Enter or click See all results to open the full search results page with filters and pagination.
What gets searched
The search matches your query against multiple fields across photos and videos:
- Photos: title, description, tags, keywords, and AI-generated metadata (description, tags, OCR text, category, scene type, setting, mood).
- Videos: title, description, tags, keywords, and the plain-text transcript from uploaded subtitle files.
Transcript search requires that a subtitle file (.srt) has been uploaded and paired with the
video. The subtitle text is parsed into a searchable transcript automatically.
Search results page
The full results page provides additional controls:
- Type filter: narrow results to All, Photos, or Videos.
- Client filter (admin only): restrict results to a specific client.
- Pagination: results are shown 24 per page.
Client users only see published media assigned to their client. Admin users see all media
across all clients in their company.
Downloading results as a zip
When a search returns at least one result, a Download results as zip button appears under the search bar on the full results page. It packages every matching photo and video — not just the current page, and regardless of the type/client filters' effect on what's shown — into one ZIP.
- Run your search and open the full results page.
- Click Download results as zip. A full-screen overlay shows a progress bar with a live count while the server gathers the files, then a "packaging" state while the ZIP is built.
- The browser starts the download and the overlay clears. The ZIP is named after your query (e.g. search-harbor-sunset.zip).
- Files are stored flat under their original filenames; any name collisions are automatically de-duplicated so nothing is overwritten.
- If your company has uploaded a photo licence or marketing file, those are bundled into the ZIP too.
- Client users get the same button, limited to published media assigned to their client.
The ZIP is built on request while you wait — keep the tab open until it starts. If a search
matches more than 4 GB of files, the download is refused with a message asking you to
narrow the search and try again (there's no background email delivery for search zips).
