Add, edit & delete clients

Goal: keep a record of who you deliver photos and videos to, so galleries and video collections can be assigned to the right client.

Prerequisites

  • Any company user (admin or team member) can add and manage clients — this isn't restricted to admins.
  • You don't need a client before creating a gallery or collection — a gallery can be company-owned and assigned to a client later. See Company vs client content.

Adding a client

  1. From the sidebar, go to Clients.
  2. Click Add Client in the top-right corner.
  3. Fill in the Client / Company Name (required).
  4. Optionally add an Address.
  5. Optionally add a Phone and a Website.
  6. Optionally add a Contact Person (the individual you deal with), a Contact Phone, and a Contact Email for them.
  7. Click Add Client.
Only the client name is required. Address, phone, website, and contact details are optional and can be filled in later by editing the client.

Editing a client

  1. On the Clients list, click the pencil icon on a client's row.
  2. Update any of the fields — name, address, phone, website, contact person, contact phone, or contact email.
  3. Optionally toggle Allow slideshow creation to let this client build their own photo slideshows from their gallery photos and view/download the finished videos. Off by default.
  4. Click Save Changes.

The list view also shows, per client, their Contact name, Phone, and a count of their Users — click the users count to jump straight to that client's client-user list. See Client users & invites.

If you've turned on Projects (see What are Projects), a client's page also lists their projects, with a link through to each one. Similarly, if you've enabled Tasks, the client's page also shows their visible tasks; see Client visibility.

Viewing the portal as a client

To see exactly what a client sees — without needing their password — click View as Client on their row in the Clients list (only available once that client has at least one active client-user). If they have more than one contact, you'll be asked which one to view as; with only one, it asks you to confirm and drops you straight into their portal.

While viewing as a client, a banner across every page reads "Viewing as: [name] ([client])" with an Exit Client View button — click it (or the matching link in the sidebar) to return to your own admin account. None of it is logged as the client's activity — see Client activity log.

Deleting a client

  1. On the Clients list, click the trash icon on the client's row.
  2. Confirm the deletion.
A client can't be deleted while it still has client users, galleries, or video collections assigned to it. Remove all of that client's users first (see Client users & invites), and reassign or delete their galleries and collections, then delete the client. Deleting a client does not automatically delete their galleries or video collections.
