Create & assign projects
Goal: create a project, attach the right galleries, collections, and releases to it, and manage its status over time.
Prerequisites
- Projects must be enabled for your company — see What are Projects for the switches on Settings → Client Portal.
- You need a client to attach the project to — see Add, edit & delete clients.
Creating a project
- From the sidebar, go to Projects.
- Click New Project.
- Enter a Project name — something you and the client will both recognize, e.g. "Smith 2026 Wedding."
- Choose the Client this project belongs to.
- Click Create Project.
You're taken straight to the new project's page, ready to have galleries, collections, files, and updates attached.
Project brief
The Project Brief card at the top of the project's Overview tab is a free-text field for scope, deliverables, key dates, or style notes — paste in whatever brief you already have, or write a few lines from scratch.
- Open the project's page — the Brief card is the first thing on the Overview tab.
- Type or paste your brief (up to 10,000 characters).
- Click Save Brief.
Assigning a gallery or video collection
Projects don't hold galleries or collections directly — you attach them from the gallery or collection's own create/edit form, the same place you set its client:
- Open the gallery (or video collection) you want to attach, either while creating it or by editing an existing one.
- Find the Project dropdown and choose the project.
- Save.

Model releases
A project can collect its own signed releases directly, or pick up releases already collected through the client's general release link.
Scan the project's QR code
Every project gets its own permanent QR code and link, separate from the client's. Releases signed through it are linked to the project automatically — there's nothing to link afterward.
- Open the project's page and switch to the Releases tab.
- Click Show QR to open a modal with the full-size QR code and a Download button — save the PNG to print on a sign or hand to the subject on location.
- Click the link-token button to copy the full URL instead, for sharing by text or email.
- Click the rotate button to regenerate the project's link — the old QR code and URL stop working immediately.
Link an existing signed release
If a release was already collected through the client's general link (not the project's), link it in manually:
- On the project's Releases tab, pick a release from the Link a release dropdown — only that client's already-signed, unlinked releases appear here.
- Click Link Release.
To remove one, click Unlink next to it — the release itself isn't affected, it just stops appearing on this project. See Model releases for how the client-level link works.
Status: active, completed, archived
Every project has a status, changed from the fields at the top of the project's page:
- Active — the default for a new project. Active projects with recent activity are eligible for the recurring AI digest.
- Completed — the work is done but the project stays visible with everything intact.
- Archived — for projects you're finished following closely.
Deleting a project
- On the project's page, click Delete.
- Type DELETE (uppercase, exactly) into the confirmation box.
- Click Delete Project.
