Model releases

Goal: collect signed model release forms from shoot subjects using QR codes or shareable links, customize the release wording your company uses, and manage all submissions from one place.

Prerequisites

How it works

Each client automatically gets a permanent QR code and public link. Subjects scan the QR (or open the link) on their phone, fill out a branded release form, and draw + type their signature. The submission is saved against your company and that client.

The release page has two tabs: Collect signatures (for managing per-client links and viewing submissions) and Release wording (for customizing the template terms — admins only).

Collect signatures

  1. Go to Releases in the sidebar.
  2. Find your client in the list — each row shows the client name, public link token, submission count, and whether releases are currently On or Off.
  3. Click the QR code button to open a modal with the full-size QR code and a Download button — save the PNG to print on a sign, business card, or thank-you card.
  4. Click the copy button next to the link token to copy the full release URL to your clipboard for sharing via text or email.
  5. Click Disable / Enable to toggle submissions on or off — when disabled, the public form shows a "not accepting submissions" page.
  6. Click the rotate button to regenerate the link token — the old QR code and URL stop working immediately.
The QR code and link are permanent and reusable — one link serves every subject for that client. You can print it on a sign, business card, or thank-you card so models can fill out the release on location with their mobile device.

Release wording (admins)

Switch to the Release wording tab to customize the template that every signing form uses. The wording you save here becomes the exact text shown to signers and captured in each signed PDF. The signer fills in their own name, date, and details when they sign.

  1. Go to Releases → Release wording.
  2. Choose Release type: Model release, Property release, or Model + Property release.
  3. Check the Permitted uses that apply: Portfolio / self-promotion, Promotional / marketing, Social media / website, Commercial advertising, Editorial / publication.
  4. Enter Compensation (e.g. "none" or "$100").
  5. Choose Duration: Perpetual or Fixed term (with a duration field, e.g. "5 years").
  6. Select a US state for governing law.
  7. Optionally add free-form Additional terms.
  8. Click Save wording.

Below the form, a Preview pane shows the exact release text that signers will see — it updates each time you save. You can also click Download a blank copy to save the template as a plain-text file.

Only users with the admin role can edit release wording. Non-admin team members see only the Collect signatures tab.

Viewing submissions

  1. On the Releases page, click a client's submission count to open their Submissions page.
  2. The table lists each submission: name, media type (photo / video / both), date, and whether a minor is involved.
  3. Click a submission to see the full detail: all form fields, both signatures (drawn image and typed name), and IP address.
  4. From the detail page, click Download PDF to save a PDF copy of the release.
  5. From the submissions list, click Export CSV to download all submissions for that client as a spreadsheet.

Public form fields

The release form collects:

  • Model's full legal name (required — also used as the typed signature)
  • Email, phone, address
  • Shoot / event description
  • Media covered: Photo, Video, or Both
  • Consent for likeness use (required) and commercial/promotional use (required)
  • "I am signing on behalf of a minor" toggle (shows guardian name + relationship fields, required when checked)
  • Drawn signature (touch/drag canvas, required)
  • Typed legal name signature (required)
  • Timestamp, IP, and user agent (captured automatically)
Submissions generate an in-app notification and an email to all company users on the account.
