Company settings

Goal: walk through every tab on the Settings page and what each one configures.

Prerequisites

  • You must be signed in as an adminSettings only appears in the sidebar for admins.
  • These are company-wide settings, not per-gallery or per-collection — set once and they apply everywhere automatically.

Settings has four tabs, in this order: Company Info, Client Portal, Photo Metadata, and Licences & Marketing.

Client Portal

This tab is your clients' front door — the address they use to sign in, and how that sign-in page looks.

Client portal address

The first time you visit, you'll be asked to choose a subdomain (letters, numbers, and hyphens only, 3–63 characters), for example yourcompany.framecourier.com. After initial setup, the subdomain is shown with a Copy button and can be changed at any time.

To change your subdomain:

  1. Go to Settings → Client Portal.
  2. Click into the subdomain field and type a new value. An inline availability check runs as you type to confirm the new address is available.
  3. When the check passes, click Save to apply the change.
Existing client links will break. Changing your subdomain means the old address (e.g. oldname.framecourier.com) stops working immediately. Update any shared links, bookmarks, or printed materials that reference the old URL.

Branding

  1. Go to Settings → Client Portal.
  2. Optionally upload a Logo (JPEG, PNG, GIF, or WebP, up to 5 MB), or check Remove current logo to clear it.
  3. Set a Display name — shown across the client portal instead of your account's company name; leave blank to fall back to your company name.
  4. Pick an Accent color — applied to buttons and highlights in the client portal.
  5. Write a Login welcome message (up to 500 characters), shown on the client sign-in page.
  6. Click Save Branding.

Clients see your logo, accent color, and welcome message instead of default FrameCourier branding throughout their portal experience.

This is the same branding surfaced in Profile & branding — both pages edit the same company record.

Photo Metadata

This tab controls EXIF metadata embedding — copyright and contact details written invisibly into each delivered photo file. It doesn't change how a photo looks; the information travels with the file itself, so ownership stays attached even if it's shared or downloaded later.

  1. Go to Settings → Photo Metadata.
  2. Check Embed metadata into uploaded photos to turn it on.
  3. Fill in Copyright, Artist / Creator, and/or User comment — each accepts the tokens {year} and {company}, expanded automatically (e.g. © {year} {company} becomes © 2026 Acme Studio).
  4. Click Save Metadata Settings.

Once enabled, every new JPEG or TIFF upload gets these fields embedded automatically as a background job. An Image Description field is always set to the photo's gallery name and isn't configurable. RAW files and PDFs are always skipped.

A separate Apply to existing photos button queues the current settings against every eligible photo you've already uploaded, as low-priority background jobs so new uploads aren't slowed down.

Licences & Marketing

This tab attaches up to three files that go out automatically with every delivery:

  • Photo licence — a plain-text (.txt) licence document. Clients can read it from a "View Licence" link on your galleries, and it's bundled into every gallery zip download.
  • Video licence — the same idea, for video collections.
  • Marketing material — any file type, up to 25 MB, tucked into every gallery zip download as an extra — a print/album price list, a referral or discount voucher, a thank-you note, or a review request.
  1. Go to Settings → Licences & Marketing.
  2. For any slot, choose a file to upload — this replaces whatever is currently in that slot.
  3. Or check Remove current file on a slot to clear it.
  4. Click Save Licences & Marketing.

Each slot is optional and independent — leave one empty to skip it.

Don't have licence wording ready? Tools includes a licence builder that generates plain-English photo and video licence text from a short questionnaire, which you can save straight into these slots.
Uploading a new file to a slot immediately replaces and deletes the previous one — there's no version history, so keep a copy elsewhere if you might need the old file again.

Company Info

This tab holds the basic details of your company. These details appear on licences, the client portal, photo metadata, and the contract generator.

  1. Go to Settings → Company Info.
  2. Company name (required) — your business name.
  3. Address — your business address, used in licence and contract text.
  4. Phone — your business phone number.
  5. Website — your business website.
  6. Contact email — the email address where clients can reach you. When set, a Contact Us page becomes available in the client portal so clients can send you messages directly.
  7. Click Save Company Info.
Filling in your address, phone, and website makes the licences and contracts generated on Tools more complete. The contact email also enables the client portal Contact Us feature.

Security

This tab controls email two-factor authentication (2FA) for your logins. Two independent toggles let you require email verification for team logins and/or for client logins; when a toggle is on, everyone of that type must enter an emailed 6-digit code to finish signing in.
