Team members & roles

Goal: add teammates to your company account and understand what an Admin can do that a User can't.

Prerequisites

  • You must be signed in as an admin — the Team Members sidebar link only appears for admins (regular users don't see it at all, and the page itself requires admin access).

Adding a team member

  1. From the sidebar, go to Team Members.
  2. Click Add User in the top-right corner.
  3. Fill in First Name, Last Name, and Email (all required).
  4. Choose a Role: User or Admin.
  5. Optionally upload a Profile Picture.
  6. Click Add User.

The new teammate is emailed a welcome message with the login link, their email address, and a temporary password, and is told to change it after signing in.

Adding a user doesn't consume extra storage by itself — team members share your company's single storage plan and quota. See Plans & storage quota.

Admin vs. User

Every company user sees the core navigation — Dashboard, Clients, Photos, Videos, Releases, and Queue — and can create galleries, upload media, and manage clients. Only users with the Admin role additionally see and can access:

  • Team Members — this page, for adding, editing, and removing other company users.
  • Tools — administrative utilities.
  • Settings — branding, client portal address, photo metadata, and licence/marketing files.

Billing & Plan (reachable from the account menu in the topbar) also requires the admin role. Disk Usage is accessible by any company user.

Editing or removing a team member

  1. On the Team Members list, click the pencil icon on a user's row to edit their name, email, role, or profile picture.
  2. Click the trash icon to delete a user. You'll be asked to confirm — deleting is immediate and cannot be undone.
Your company must always keep at least one admin. You cannot delete the last remaining admin, and an admin cannot demote themselves to User if they're the only admin left — add or promote another admin first. You also can't delete your own account from this page.
